About

Why we built Partner4Events

Sponsors and vendors make events possible, but managing them usually means spreadsheets, long email threads and requesting the same logo three times. We built Partner4Events so organizers can run every partnership from one place, and so their partners have a clear, simple portal instead of a pile of emails.

Features

What you can do

Everything from the first invitation to the thank-you recap.

Keep every dollar your sponsors pay

Get paid by check, wire, card or your own payment link. Money goes straight to you, and we never take a cut.

Invite by email

Add a sponsor or vendor, pick their package, choose what they need to deliver, and send one invitation. They open their own portal from the emailed link and choose a password the first time. A new browser is confirmed with a one-time code.

Calendar and timeline

See every due date, what you requested and what came in, on a month view or a timeline per partner. Filter by event, partner, direction or item type.

Track every deliverable

Logos, insurance certificates, banners, menus, load-in times. See what’s done, what’s late and who owns it, across every sponsor and vendor.

Agreements signed in the portal

Attach the agreement and set a deadline. The sponsor or vendor signs in their portal with a one-time email code, you countersign, and both sides get the same signed PDF with a certificate of completion. You always know who has signed.

Proposals and packages

Build your sponsorship levels and vendor packages once. Send a proposal link, and an accepted proposal becomes a new partner in one click.

Shared documents

Keep site maps, brand guidelines and forms in folders. Share them with selected sponsors, vendors or teammates.

Messages in one place

Talk to each partner inside their portal, with the conversation kept next to their requirements instead of scattered across inboxes.

Recaps that make renewal easy

Show sponsors what they got: benefits delivered, audience numbers and proof photos, in a recap you can download and send.

Every event, year after year

Run festivals, galas and tournaments side by side. Each event keeps its own partners, dates, files and history.

Bring your spreadsheet

Import your current sponsor and vendor list from Excel, CSV, TSV, JSON or a Google Sheets link, whatever your column names are, and start from where you are today.

Your whole team

Invite teammates with roles and permissions, so finance sees invoices and volunteers see only what they need.

Switching is easy

Bring your whole partner list in minutes

Already keep your sponsors and vendors in a spreadsheet? Import the whole list into Partner4Events. Your columns don’t need to match ours, and nothing is sent to your partners until you’re ready.

  • Excel, CSV, TSV, JSON or a Google Sheets link
  • Columns matched automatically, and you choose which to leave out
  • One sheet can cover several events
  • Duplicates and incomplete rows are flagged before you import
  • Export everything back out any time. Your data stays yours.

Answers to the questions organizers ask most

Getting started

How do I set up my first event?

Create a free account, open Events and give your event a name. Every event starts free, with 2 sponsors or vendors and every feature, so you can try the whole workflow. When you’re ready for more, choose a size for the event: a card goes on file and nothing is charged for 30 days. Everything you’ve set up stays.

How do I invite a sponsor or vendor?

Open Partners and use “Invite by email”. Choose the event, whether it’s a sponsor or a vendor, and their package. Then pick what they need to deliver, review the invitation and send it. They receive a secure link to their own portal.

What do my sponsors and vendors see?

Their own portal: what you need from them and by when, documents to sign, invoices, shared files and messages. Nothing about other partners.

Can my team work in the same account?

Yes. Invite teammates from Team & permissions and give each one a role. Permissions control who can manage events, sponsors, team members and financials. Team members are included with every plan: you plus 1 teammate on the free plan, 3 to 20 depending on the pass size, and unlimited on Pro. Need more on a pass? Ask us and we’ll add extra seats.

Moving your existing partners in

What can I import?

An Excel file (.xlsx), a CSV, TSV or JSON file, or a Google Sheets link shared as “Anyone with the link”. If your list lives in another app, save or download it as a spreadsheet first.

Do my column names have to match yours?

No. Columns like “Sponsor Name”, “Contact Person”, “Email Address” or “Sponsorship Amount” are matched automatically, and first and last name columns are combined. You can change any match, uncheck columns you want left out, and keep extra columns (like notes) with each partner.

Will importing email my partners?

No. Every imported row becomes a draft. Nothing is sent until you open a draft, choose its requirements and send the invitation.

What happens to duplicates and bad rows?

Before anything is saved, you see how many rows are ready and which will be skipped, with the spreadsheet row number and the reason: a missing or invalid email, a partner already in that event, or the same email twice in the sheet.

Can one spreadsheet cover several events?

Yes. Add an Event column and each row goes to the event with that name. Rows with a blank or unrecognized event go to the event you choose.

Can I get my data out again?

Any time. Export your sponsors and vendors to Excel or CSV from Partners, or export a whole event, including deliverables, invoices, attendees and team, from the Event tab.

Pricing and refunds

Is there a free plan?

Yes. Every event you create is free with 2 sponsors or vendors and every feature included, with no credit card, up to 2 free events at a time. It’s there so you can see how Partner4Events works before you pay.

How do the 30 free days work?

When an event needs more than 2 sponsors or vendors, choose a size for it. A card goes on file with Stripe and nothing is charged. We email you 7 days before the charge; on day 30 the card is charged the pass price and the event carries on. Cancel before then from Billing & plan and nothing is charged: the event is paused, nothing is deleted, and you can pick it up again later. If a card is declined you keep full access for 14 more days while you update it. The free days come once per event.

Should I buy passes or Pro?

Start free. When an event needs more than 2 sponsors or vendors, choose a size for it: a pass covers one event, sized by how many sponsors and vendors you invite, starting at $99 for up to 10. Pro covers 10 active events with up to 200 partners each, for $99 a month billed yearly ($1,188) or $139 month to month. If you run several events a year, Pro usually works out cheaper. Either way, nothing is charged for the first 30 days.

What counts as a partner slot?

A sponsor or vendor uses a slot when you send them an invitation, and keeps it once they accept. Drafts and imported lists are free, and so are contacts: add as many people from each company as you like. If you withdraw an invitation, or it isn’t accepted within 14 days, the slot is released automatically.

What if my event grows?

Upgrade the event’s pass to a larger size and pay only the difference in price.

What is the refund policy?

When you choose a size for an event, or start Pro, nothing is charged for 30 days: cancel before then and you pay nothing. After the charge, a pass on an event is final. Refunds are the amount paid minus Stripe’s payment processing fee (about 2.9% + 30¢ for cards). Stripe keeps that fee when a payment is refunded, so it isn’t something we charge or keep. Pro: month to month, cancel any time and it stays active until the end of the paid month. Annual Pro can be refunded for the unused part, with the months you’ve used charged at the monthly rate.

What if my event is canceled?

Open the event’s details and choose “Cancel event” any time before the start date. The event becomes read-only and each sponsor and vendor is emailed that it’s canceled, with any note you add. If the event’s pass was already charged, your first cancellation in any 12 months gets a free replacement pass of the same size for a future event; if it was still in its free 30 days, nothing is charged at all. Refunds to your sponsors and vendors are between you and them, through whichever way they paid you.

Do you charge fees on sponsor payments?

No. We never add a platform fee to your sponsors’ or vendors’ payments. If a sponsor pays you by card or bank transfer, their payment provider charges its usual processing fee; we add nothing on top.

Can I change the event date?

Every event needs a start and end date. You can change the dates up to twice. On a paid pass, the new start date can be at most 30 days after the original. Changing the name, start and end times, venue or details is always free. Events become read-only 30 days after they end, and you can still view and export everything.

Payments, contracts and files

How do sponsors pay me?

Add the ways you accept payment — PayPal, Venmo, Cash App, Zelle, check or bank transfer — under your account menu → Getting paid. Sponsors and vendors see those options on each invoice, tell you what they sent (for a check, the check number and bank), and you confirm it arrived before it’s recorded. Bank details are only shown to a partner who chooses bank transfer. Money goes straight to you; we add no fee. Connect Stripe and they can also pay online by card or bank transfer (ACH); Stripe’s usual processing fee applies and we add nothing.

Can partners sign agreements in the portal?

Yes. Attach the agreement as a PDF to an e-signature request. The sponsor or vendor confirms it is them with a one-time code sent to their email, signs, and you countersign. Both sides download the same signed PDF, with a certificate of completion recording who signed, when and from where.

Can I share files with partners?

Yes. Upload files to Documents, organize them in folders, and share each one with the sponsors, vendors or teammates who need it.
